Technology for a small business should earn its keep in saved time or saved money, not exist because it is fashionable. The honest starting point for most Kenyan SMEs is a handful of specific tools solving specific problems, not a full “digital transformation.” Here is where each piece actually fits.

AI tools

The realistic near-term value of AI for a small business is narrow and practical: drafting a first version of a document (a contract clause, a job description, a social post) faster than starting from a blank page, summarising a long conversation or document, or answering a repetitive customer question. Treat AI output as a fast first draft that a person checks, not a finished, unsupervised answer, especially for anything financial, legal, or customer-facing.

Cybersecurity

Most small business security failures are not sophisticated hacks, they are a shared password, an unlocked phone with the business M-Pesa app on it, or a fake payment confirmation message believed too quickly. Two-factor authentication on anything financial, unique passwords rather than one reused everywhere, and a habit of verifying payment confirmations directly in the app rather than trusting a forwarded message cover most of the real risk.

Cloud computing

Storing business records (invoices, contracts, customer lists) in a cloud service rather than only on one phone or laptop protects against the single most common small-business data disaster: a lost or stolen device with no backup. Free tiers of mainstream cloud storage are enough for most small businesses to start.

CRM systems

A CRM (customer relationship management tool) is worth adopting the moment “who was I supposed to follow up with” becomes a real, recurring problem, which for most small businesses happens earlier than expected. Websites

A simple page with your services, contact details, and a WhatsApp button often outperforms an expensive site nobody built for search, because most local discovery happens through Google search and WhatsApp referral, not a beautifully designed homepage.

Payments
